How to chat with a Google Sheet and keep the answers up to date

Key takeaways

  • On the Team and Enterprise plans, import a worksheet from Google Sheets and ask questions of it in plain English, just like an uploaded file.
  • An owner or admin connects a Google account once. After that, anyone with editor access can import its spreadsheets.
  • Choose Sync now, or refresh every day or every week, and the charts on your canvas keep up with the sheet.
  • DashboardGPT only reads your spreadsheets. It never changes them, and you can remove its access at any time.

Why ask the sheet directly

Plenty of teams run on Google Sheets: the sales tracker, the marketing budget, the monthly finance pack. Getting answers out of them usually means downloading an export, building a pivot table and pasting a chart into a slide. By next week the export is out of date and someone has to do it all again.

With DashboardGPT you import the worksheet once. Ask a question in plain English and the answer lands on a canvas as a chart, a number or a short insight. When the sheet changes, refresh it and the answers follow.

What you need

  • A Team or Enterprise plan. Google Sheets is included on Team and Enterprise. On Explore, or during the free trial, the Google Sheets tile is shown with a lock and explains what an upgrade brings.
  • An owner or admin to connect a Google account. This is a one-off step for your organisation.
  • Editor access to the workspace for the person importing the sheet. Each imported sheet counts toward your plan's file allowance, like an upload.

Not on Team yet? You can still export the sheet as a CSV or Excel file and upload it on any plan. How to chat with a CSV file walks you through it.

Step 1: Connect a Google account

  1. Open Settings, then Integrations, and choose the Google Sheets tile.
  2. Choose Connect Google account and sign in to Google.
  3. Allow DashboardGPT to see your spreadsheets and list your files. Keep every box ticked, or the account can't be used for importing.
  4. You come back to the Google Sheets page with the account listed as connected.

The Google Sheets page also shows the limits that apply on your plan, so you always know where you stand.

Step 2: Import a worksheet

  1. On the Datasets page, choose Import Google Sheet.
  2. Pick a spreadsheet from the connected account: search by name or paste its link. A spreadsheet shared with "Anyone with the link" can be imported from its link too.
  3. Choose the worksheet and the header row. To bring in only part of it, add a range such as A1:F200.
  4. Choose Preview rows to check the first rows exactly as they will be imported.
  5. Give the dataset a name and choose Import. DashboardGPT follows the import until the dataset is ready, just like an upload.

A few small habits make the answers better: one header row with clear column names, one row per record, and real dates rather than text. Rows above the header row are skipped, and a blank header cell becomes a column named after its letter.

Step 3: Ask your first question

Open the canvas and type a question about the new dataset in the Assistant panel. Start with one headline question, such as "What were sales by month this year?" The answer arrives as a chart. Follow up on it to narrow things down: "Only the North region", "Show it as a table", "Which rep closed the most?"

Answers stay on the canvas, so the whole investigation is in one place to arrange, revisit and share with your team.

Keep it up to date

Every imported dataset has a Google Sheets source card on its page. It links back to the spreadsheet and shows when the data was last refreshed and when the next refresh is due.

  • Sync now pulls in the latest rows whenever you want them.
  • Refresh on a schedule: choose every day or every week, or set it back to manual.
  • No gaps while it refreshes. Charts and canvases keep working on the current data until the new rows are in, and charts you have published to Superset update when the refresh finishes.
  • Change the range or header row at any time. The change applies at the next refresh.

If a refresh can't finish, the card says why and the dataset keeps the rows it already had, so nobody is left looking at an empty chart.

What DashboardGPT can see

  • Read-only access. DashboardGPT can list your spreadsheets and read the ones you choose to import. It never creates, edits or deletes anything in your Google Drive or Google Sheets.
  • Only what you import. The worksheet and range you pick are stored as a dataset in your workspace and treated like any file you upload.
  • You stay in control. Disconnecting the account in DashboardGPT removes its access at Google. Datasets you have already imported stay in your workspace until you delete them.

When you ask a question, your AI provider sees the question, a description of the columns with a few sample values, and the summarised results, not the whole sheet. Our privacy policy sets out exactly how Google data is handled, and is my data used to train models? explains the rest in plain English.

Frequently asked questions

Team and Enterprise. On Explore, and during the free trial, the Google Sheets tile is locked. CSV and Excel uploads work on every plan.

No. It asks Google for read-only access and only reads the worksheets you choose to import. It never creates, edits or deletes anything in your Google Drive or Google Sheets.

Organisation owners and admins connect accounts under Settings, then Integrations. Anyone with editor access to a workspace can then import spreadsheets from them.

Whenever you choose Sync now, or automatically every day or every week. Charts and canvases keep working on the current data while a refresh runs.

Yes. Paste the link when you import and pick the worksheet as usual.

Disconnecting removes DashboardGPT's access at Google. Datasets you have already imported stay in your workspace, but they can't be refreshed until the account is connected again.
