Key takeaways

  • With per-user pricing you know your bill in advance: it only changes when your team does.
  • On DashboardGPT Team, annual billing saves 20%: $32 per user per month instead of $40.
  • Team covers 1 to 50 users and you pick the exact number; Enterprise has no user cap.
  • Every new account starts on a free Team trial with no card. Check the pricing page before you budget, and change your number of users whenever the team changes.

Why per-user pricing is easy to budget

Per-user pricing means one clear price for each person on the team. Your bill grows with your team, not with how much data you have or how many questions you ask, so there are no surprise overages at the end of the month.

That makes it easy for finance to approve and easy for team leads to plan. The only real decision is who should have a seat, and that is a decision you stay in control of.

Choose the number of users

Start with people, not a round number. A quick list usually shows you need fewer seats than you thought.

  1. List who asks questions of the data today. Analysts, operations leads, finance, and anyone who waits on a spreadsheet or a report request.
  2. Separate regular users from occasional readers. Someone who glances at one shared dashboard a month may not need a seat of their own.
  3. Include the people who run the workspace. Owners and admins sign in too.
  4. Plan for next quarter, not the next three years. You can add users whenever the team grows, so there is no need to buy ahead.
A good rule of thumb: give a seat to everyone who will ask their own questions, and share the answers with everyone else.

Monthly vs annual

Both options give you the same product. The difference is how you pay.

  • Monthly: the most flexible choice. Ideal for a pilot or while your team size is still changing.
  • Annual: 20% less per user. Ideal once DashboardGPT is part of how your team works, and the saving grows with every user you add.

Add or remove users later

Teams change, and your plan can change with them. Owners and admins open the Subscription page, move the slider to the new number of users, and see the price before confirming. It works the same way on monthly and annual billing.

  • Adding users takes effect straight away. You pay only for the rest of the current billing period, and if the card is declined nothing changes.
  • Removing users takes effect at your next renewal. You keep the seats you have paid for until then, and you can cancel the scheduled change at any time.
  • Everyone who holds a seat keeps it. To go below the number of people in the workspace, remove members or withdraw invitations first.

Renewals are easy to plan for, too. Everyone in the workspace sees a reminder before the billing date: 5 days ahead on monthly billing and 30 days ahead on annual. If a renewal payment does not go through, owners and admins get an email and there is a short grace period to pay or update the card. The workspace keeps working during it, with exports and sharing paused until the payment arrives. If the grace period runs out, the workspace pauses until the invoice is paid, and nothing is deleted.

Getting started

  1. Create a free workspace. Sign up. Your account starts on a free Team trial, with no card required.
  2. Try Team with your colleagues. Invite up to two teammates, upload your own files and ask real questions. When the trial ends, choose Team or carry on free on Explore, with nothing lost.
  3. Pick your number of users and billing cycle. The price updates as you choose, and you only pay for the seats you pick.
  4. Keep your finance team happy. Usage and every invoice are in one place, ready to download.

Invoices and self-hosted

Team is paid by card. Annual contracts over $5,000, Enterprise plans and self-hosted licenses can be paid by invoice, and purchase orders are welcome.

If your data needs to stay on your own infrastructure, the self-hosted edition is licensed annually:

Self-hosted planStarting price
Self-Hosted TeamFrom $9,000 per year, minimum 20 users
Self-Hosted BusinessFrom $24,000 per year
Enterprise Air-GappedCustom quote, typically from $50,000 per year

See on-premise pricing for what each license includes, work through the self-hosted analytics checklist, or talk to us about the right fit for your team.
